When preparing for an event, one of the most crucial (if not THE MOST crucial) aspects of planning is picking a venue. Choosing the right location can make or break the success of an event; even a small oversight can cause major setbacks for all attendees.
Researching meeting destinations and negotiating with venues can be time consuming, overwhelming and in many cases, it is difficult to know if you are really getting a good deal. Here are the top three ways to select the ideal destination for your next event, without breaking the bank, or your head!
Make sure that your site selection perfectly frames the central theme of your event. This may seem a bit self-explanatory, but with a detailed and specific concept in mind, knowing where to begin will be much easier. Although it’s not mandatory, having a theme in mind will help keep the event planning more focused and ultimately will save time in the planning process and research by limiting the number of inadequate venues to sort through. Which leads us to our next practice…
2. NO is just as good as YES
Don’t be afraid to say no! Part of choosing the right venue is knowing what you don’t want. We suggest that you question and negotiate with vendors in order to accommodate your needs. Denying a venue is about as good as considering one, it allows you to narrow down your choices and define specifically what you want. Remember never settle!
3. Location, Location, Location
Transportation costs can become a large part of your event spends if your venue’s location is not chosen carefully. Venues that are selected in close proximity to public transportation can limit attendee travel time, increase attendance of offsite activities, and decrease costs. Be sure to also remain consistent with the image you are trying to portray, you do not want the location to take away from the overall theme.
Overall, be sure to do plenty of research and seek various opinions, don’t settle and take the surroundings into consideration. With these tips, you’re well on your way to securing the perfect venue to bring your vision to life and eliminate a significant amount of stress (and unexpected costs) leading up to your event. “A persons a person no matter how small!” Dr. Seuss
We are excited to share the Dr. Seuss themed baby shower we were hired to assist in decorating with one of our closest Event Planner colleagues Christopher Valerio. This was a small outdoor baby shower that he planned for his Godmother, so we wanted to make it extra special for her! From Cat in the Hat, to Lorax and everything in between. I got so many inspirations from my sons books and various websites. Here is a view at the different design elements that we created for this special day.
We found a cute little idea on Pinterest that I totally fell in love with so we made an open photobooth type of display. We custom painted a large wooden frame and placed it by the rocking chair with a red and blue boa. The guests were able to take pictures of themselves and with the Mother-to-be. This was a hit!! Here is a picture of Christopher and his Godmother.
These awesome invitations were ordered by one of the family members and they turned out so cute! Check out Memories Bake Shop and Design for more of their work!

We ordered these fabulous “Thing 1” sugar cookies, cake pops and cupcakes to go with the theme. The baker was Ana Tejeda from Funcakes and More, LLC located in the Bronx. Her work is beautiful and quite delicious!
We designed a small candy display as favors for the guests and made matching labels to go with the theme as well as a Banner that read “Baby Aidric”.
I painted a mini bookshelf and used some of my sons books as well as new books that we bought for the Mom-to-be which really brought the entire table display together!

Having a baby is such a blessing! You get to eat all the food you want and no one can say anything to you lol, but we all know what comes with that belly … A BABY SHOWER!!
Many couples like to find out what the gender of their baby will be, and there are also a lot of people who choose to wait for the big day. How can you prepare a baby shower when you don’t know what the gender of the baby is?
We were recently hired to set up a dessert table for a Surprise Baby Shower, where the Mother-to-be did not know what the gender of the baby was. We added both pink and blue to represent both boy and girl.

There were alot of DIY projects done by the aunt-to-be and she did an awesome job. She made the diaper cake centerpieces, which came out super cute. She also made the marshmallow pop rattles, the party favors, the jars with the straws, the banners and the cupcakes! Check them out:

When the parents-to-be want to play a guessing game with their guests they sometimes add either blue or pink to the inside of the cake so that when they cut the cake open, the gender will be revealed.
